Conditions of Enrolment

When you enrol with Evantaa Institute on a student visa, you take on a set of obligations — to us, and to the Australian Government. Meeting these conditions protects your visa, your enrolment, and your future in Australia.

This page explains each condition clearly. If something raises a question or concern, contact our Student Support team before it becomes a problem.

At a glance

Here are the key conditions that apply to all international students enrolled at Evantaa Institute:

  • Study full-time: International students must maintain a full-time study load for the duration of their enrolment.
  • Work limit: You may work up to 48 hours per fortnight across all employers during study periods. No limit applies during scheduled course breaks.
  • Hold valid OSHC: Your Overseas Student Health Cover must be current for the entire duration of your Confirmation of Enrolment (CoE).
  • Keep your details updated: Notify Evantaa Institute promptly of any change to your address, phone number or email.
  • Right to appeal: If Evantaa Institute initiates any action against your enrolment, you have 20 working days to lodge an appeal.

1. Full-time study

As an international student on a Subclass 500 student visa, you must study full-time. Part-time study is not permitted under your visa conditions.

Your CoE sets out the expected duration of your course. You are required to complete your qualification within that timeframe. Evantaa Institute monitors attendance and course progress for all students and will put support in place early if you are falling behind.

2. Work hours

Under visa condition 8105, you may work up to 48 hours per fortnight across all employers combined during your study periods. During scheduled course breaks, there is no restriction on work hours.

Important

The Department of Home Affairs cancelled more than 12,000 student visas in 2024 for work-hour breaches. If you work more than one job, keep a record of your hours each fortnight.

A fortnight runs from Monday to the following Sunday. Hours from every employer — casual, part-time and full-time — all count toward your 48-hour limit. If you are unsure whether a scheduled break applies to your course, confirm with our team before working additional hours.

3. Overseas Student Health Cover (OSHC)

You must hold valid OSHC for the entire duration of your CoE — not just until your course ends. A lapsed policy is a visa condition breach.

Evantaa Institute partners with NIB for OSHC. Your policy must be activated before or on your course start date and remain current until your visa expires.

  • Activating your policy: Log in at nib.com.au and complete activation using the reference number in your OSHC confirmation letter.
  • Adding dependants: If your partner or children are accompanying you to Australia, they must be added to your OSHC policy before they arrive.

4. Deferring or suspending your studies

Evantaa Institute can grant a deferral or suspension of your enrolment where compassionate or compelling circumstances exist — circumstances generally beyond your control that affect your ability to study or your wellbeing.

What counts as compassionate or compelling circumstances

  • Serious illness or injury (supported by a medical certificate)
  • Bereavement of a close family member such as a parent or grandparent
  • Major political upheaval or natural disaster in your home country requiring emergency travel
  • A traumatic experience such as a serious accident or crime (supported by a police or psychologist’s report)
  • Inability to commence on your CoE start date due to a visa delay
  • Evantaa Institute is unable to deliver a prerequisite unit

Personal travel, work commitments and holidays are not considered compassionate or compelling circumstances and will not be approved.

How to apply

  • Submit your request in writing: Email admissions@evantaa.edu.au at least 10 working days before the requested deferral or suspension date. Include supporting documentary evidence.
  • Leave of absence: For short absences of up to 3 weeks within a study period, you may apply for a Leave of Absence. A maximum of 2 approvals per academic year may be granted.
  • Maximum suspension period: 6 months. If you need longer, your application will be reassessed.
  • Response timeframe: We will notify you in writing within 10 working days of receiving your complete application.
  • New CoE: If your approved deferral or suspension changes your CoE end date, a new CoE will be issued.
Important

Any change to your enrolment status will be reported to the Department of Home Affairs via PRISMS and may affect your visa. Contact the DHA at homeaffairs.gov.au or call 131 881 before applying.

5. Withdrawing from your course

You may initiate cancellation of your enrolment at any time. Before doing so, we strongly encourage you to speak with our Student Support team — cancelling your enrolment is reported to the Department of Home Affairs via PRISMS and may affect your visa.

Steps to withdraw

  • Step 1: Email admissions@evantaa.edu.au to arrange a meeting with the Campus Manager.
  • Step 2: Complete and submit the Withdrawal Form, available via Student Central or on request.
  • Step 3: Clear any outstanding fees and return any borrowed resources.
  • Step 4: We will notify you in writing and report the cancellation to PRISMS.

Refunds (where applicable) are processed in accordance with Evantaa Institute’s Refunds Policy and Procedure.

6. Transferring to another provider

International students cannot transfer to another registered provider during the first six months of their principal course without a written Letter of Release from Evantaa Institute.

When Evantaa Institute will grant a transfer

  • The transfer better meets your academic capability, long-term goals or access to support services
  • Compassionate or compelling circumstances exist
  • You were misled by Evantaa Institute or its representatives in breach of the ESOS Act
  • Your original provider has ceased to be registered or the course has ceased to be delivered

When Evantaa Institute may refuse a transfer

  • The transfer may negatively affect your course progression
  • Sufficient support has not yet been provided to resolve the underlying issue
  • The transfer appears to be an attempt to avoid academic or attendance reporting requirements

How to apply

  • Submit your request: Email admissions@evantaa.edu.au with a valid Letter of Offer from the receiving provider and your reasons for transfer.
  • Assessment timeframe: We will assess your application within 10 working days of receiving a complete request.
  • Right to appeal: If your request is refused, you have 20 working days to access our Complaints and Appeals process.
  • No fee: Evantaa Institute does not charge a fee for issuing a Letter of Release.

Transferring providers may affect your student visa. Contact the Department of Home Affairs before making any decision.

7. Fees and payment obligations

All fees, payment schedules and refund conditions are set out in your Student Agreement, which must be signed before Evantaa Institute can accept any course money from you.

  • Invoicing: Invoices are issued at least 4 weeks before each payment is due.
  • Prepaid fees: Evantaa Institute will not require more than 50% of total tuition fees before your course commences (unless your course is shorter than 24 weeks).
  • Fee protection: All prepaid tuition fees are protected through the Australian Government’s Tuition Protection Service (TPS).
  • Payment difficulty: If you are experiencing financial difficulty, contact accounts@evantaa.edu.au as soon as possible to discuss a payment plan.
  • Outstanding fees: Students with unpaid fees may have results or certification withheld and may be subject to enrolment cancellation after a formal process.
  • Reassessment fee: A $200 fee applies for third or subsequent assessment resubmission attempts.

8. Provider-initiated suspension or cancellation

Evantaa Institute may initiate suspension or cancellation of your enrolment in the following circumstances:

  • Breach of the Student Code of Conduct
  • Non-payment of fees after formal notice
  • Submission of fraudulent documentation
  • Behaviour that is harmful to yourself, other students or staff
  • Unsatisfactory course progress or attendance despite intervention

Your rights

  • Written notice: You will be notified in writing of the intention to suspend or cancel your enrolment.
  • Right to appeal: You have 20 working days to lodge an appeal under our Complaints and Appeals Policy. No report will be made to PRISMS until the internal appeal is finalised.
  • Continue attending: During the appeals process, you are expected to continue attending class, unless excluded on safety grounds.
  • External escalation: If unsatisfied with the internal appeal outcome, you may contact the Overseas Students Ombudsman at ombudsman.gov.au/oso or call 1300 362 072.

9. Keeping your details current

You are required to notify Evantaa Institute promptly of any change to your contact details — address, phone number or email. We use your information for timetable updates, compliance notices and CoE management. Outdated details can mean you miss critical communications.

To update your details, submit the Change of Contact Details form via Student Central or email admin@evantaa.edu.au.
